How It Works
When Flexkeeping detects that a room type is overbooked, it applies upgrade logic to distribute the extra reservations into higher-ranked available room types. Here’s how the logic works:
1. Check for overbookings.
First, we calculate how many confirmed reservations there are for each room type, and compare that to how many units are available.
2. Select reservations to upgrade.
From the extra reservations, we choose which one gets upgraded and where. This can be done based on the room type upgrade matrix.
3. Assign upgrades.
Candidates for upgrades are automatically moved to available room types that are ranked higher. These predicted upgrades are then included in the total number of expected cleans on your Housekeeping Week View, making it far easier for teams to forecast their staffing needs and cleaning plans.
How to Set It Up
Using the Upgrade Predictions Editor, you can set up a unique ranking system for upgrades. The “Space Types” tab allows you to define a hierarchy of possible upgrades for room types. For example, Standard → Superior → Deluxe.


FAQs
How does the system identify the overbooked reservations?
Earlier arrival times get a higher priority. The system will place reservations in available units of the room type they booked by order of who is scheduled to arrive earliest. Any reservations remaining after this process will be considered candidates for a room upgrade.
