Cleaning segments

Some properties prefer housekeepers to work on the same group of rooms every day, as this supports consistency, familiarity with the area, and smoother operations. For this purpose, the system allows you to use cleaning segments, which enable automatic room assignment based on predefined room groups.

To make this work, each housekeeper needs to have their own segment with rooms assigned to them. These settings are managed on the /cleaning_segments subpage.

How cleaning segments work

A cleaning segment is a predefined group of rooms linked to a specific housekeeper. When daily auto-assignment is used, the system checks which housekeepers are on duty and then assigns them the rooms from their respective segments.

If a housekeeper with an assigned segment is not marked as on duty, the system cannot assign their rooms, so it is important to include all relevant staff during daily allocation.


How to set cleaning segments

  1. Open the cleaning segments subpage in the Management menu

  2. Select +add in the top-right corner to create your first segment.

  3. A box titled segment #1 will appear. Choose the housekeeper who should be responsible for this segment.

  4. Add rooms to the segment by selecting them individually or by dragging multiple rooms at once into the segment box.

  5. Repeat the process for each additional segment you want to create.

Important: A room can only belong to one segment at a time.

Editing and organising segments

  • If you want to remove all rooms from a segment, select the reset button on the right side of the segment box.


  • In properties with many rooms or many segments, the view can become crowded. To simplify the screen, you can collapse a segment so that only its header and assigned housekeeper remain visible. Simply click anywhere on the dark blue header to expand or collapse the content.


Once you finish setting everything up, confirm your changes by clicking confirm in the top-right corner.



Daily room allocation

  1. Start by selecting all housekeepers who are on duty for the day.

  2. Make sure all housekeepers with assigned segments are included.

  3. Click auto assign. The system will then apply the cleaning segment setup to the work allocation.



4. To finalise the assignment, select confirm.


This ensures a consistent and efficient daily workflow based on your predefined cleaning structure.

FAQ

What happens if a housekeeper with an assigned segment is not on duty?
Their rooms will not be automatically assigned. The system only assigns segments for housekeepers who are selected as on duty.

Can one room be part of multiple segments?

No. Each room can be included in only one segment at a time to avoid conflicting assignments.

Can I manually change assignments after using auto assign?
Yes. You can always adjust the allocation manually if needed, even after the automatic assignment is applied.

Do I have to use cleaning segments?
No. Cleaning segments are optional. They are most helpful for properties that want a consistent daily cleaning pattern.

What if I make a mistake while setting up a segment?
You can use the reset option to clear the rooms from that segment or edit them at any time.

Can I hide segments to keep the screen cleaner?
Yes. Click on the dark blue header of a segment to collapse or expand its contents.
